The truth about outreach
Most outreach doesn’t fail because your script is bad.
It fails because you’re calling the wrong numbers and emailing addresses that bounce.
Before you “do more,” make your list call-ready and email-ready.
The Owner Data Scorecard (use this before you scale)
Use this scorecard to grade each record. Your goal is not perfection — it’s consistency.
Scorecard fields (0–2 points each)
Give each category a score:
Owner match (name/entity correctly tied to address)
Role clarity (Owner vs PM vs Rep identified)
Phone quality (validated / likely / unknown)
Email quality (verified / likely / unknown)
Suppression check (not opted-out / not internal DNC)
How to interpret the score
8–10 points: Outreach-ready (call + email + SMS cadence)
5–7 points: Call-first or email-first (light test, then improve)
0–4 points: Not ready (enrich/verify before touching)
This prevents you from “scaling chaos.”
The Verification Checklist (do this in order)
If you only follow one section in this article, follow this.
Step 1: Start with micro-lists
Begin with 300–1,000 records in a single pocket (city × asset type × 2–4 signals).
Micro-lists let you improve accuracy quickly without burning reputation.
Step 2: Dedupe before you verify
Dedupe rules:
Dedupe by address/APN
Dedupe by owner entity + mailing address
Keep multiple contacts only if you label priority and role
Step 3: Verify emails before sequences
Email verification reduces bounces and protects sending reputation.
Rules:
Don’t send sequences to “unknown” emails.
Remove hard bounces permanently.
Keep templates short and human.
Step 4: Validate at least 1 phone per record
At minimum, you want one phone number with a confidence label.
Labels:
Validated (best)
Likely
Unknown (do not scale)
Step 5: Role tag everything
At minimum: Owner / Property Manager / Representative.
Role tags improve scripts and reduce friction.
Step 6: Suppression always wins
Maintain suppression across channels:
SMS opt-outs
Email unsubscribes
Internal do-not-contact
DNC process where applicable
If you don’t do this, you will destroy your outreach over time.
What to track weekly (the only metrics that matter here)
You don’t need “fancy analytics” to improve accuracy. You need these:
1) Wrong-number rate (calls)
Wrong-number rate = wrong numbers ÷ total dials
If it’s high, you have a list problem — not a calling problem.
2) Bounce rate (email)
Bounce rate = bounces ÷ total emails sent
High bounces → lower deliverability → fewer meetings.
3) Contact rate
Contact rate = answers + replies ÷ valid attempts
As accuracy improves, contact rate improves.
4) Meetings per 100 valid contacts
This ties accuracy to business outcomes.
“Fix the biggest leak first” (simple decision tree)
High wrong-number rate → improve phone validation + dedupe
High bounce rate → improve email verification + suppression + domain hygiene
Low contact rate but accuracy is good → adjust targeting signals and messaging
Low meetings but contact is fine → refine offer + next step
